Bringing a Digital Workflow to Paper Exams
WISEFLOW PAPER SUBMISSION MODULE · ADD-ON PRODUCT
Why paper still has a place
Many institutions continue to use paper-based exams for a variety of reasons: subject-specific needs such as handwritten calculations, incomplete transitions to full digital workflows, or renewed interest in paper exams as a response to AI or cheating concerns. For many, this isn't a legacy habit — it's a deliberate choice to keep exam formats where handwriting is the most authentic way for students to show their reasoning.

After Hand-In, Paper Is Manual and Hard to Track
Once the exam ends, scripts have to be labelled, sorted, bundled, distributed and tracked — largely by hand, and often across several people and places.
- Slow distribution — scripts reach internal and external markers through handovers and physical transport, sometimes by post.
- Handling risk — misassigned scripts, missing pages and uncertain tracking.
- Uneven quality — markers work from carbon copies or photocopies of varying legibility.
- Fragmented appeals — the evidence and marking trail are spread across systems, places and people.
- Costly archiving — physical storage costs more, and GDPR retention rules are harder to secure with paper.
WISEflow Paper Submission was built to close this gap — students keep writing by hand, and everything after that happens digitally.
AI Drafts the First Version, Educators Approve Every Word
Students write by hand, scripts are scanned to PDF on any standard scanner, and WISEflow automatically matches each one to the right student and exam flow, ready for markers and external examiners to work on the same digital copy.
Any standard scan-to-PDF machine and your own paper formats work, so there is nothing new to buy or install.
Unique codes per exam flow, designed to avoid easily confused characters, match every script to the right student.
Codes are visible to participants, invigilators and managers, so mistakes are fixed in the room instead of during scanning.
Scanned scripts are sorted into the right student's exam automatically, by code, page number or attachment type.
Scripts are available digitally right after scanning, ready to mark in Marking Studio, instead of days later by post or courier
Switch it on per exam flow, for formal exams, course work or as a paper attachment to a digital exam.
Every Script Stays Traceable, End to End
- Chain of custody — unique codes and a consistent digital audit trail reduce misassignment and lost scripts.
- One copy for everyone — markers, reviewers and external examiners work from the same digital copy, so nobody has to ask "who has the original?"
- Appeals-ready — scripts, annotations and marking history live together, so the evidence is already in one place.
- GDPR-aligned retention — submitted scripts are stored centrally under the institution's own retention rules, instead of sitting in offices or at assessors' homes.
- Transparent for students — students can view their scanned submission alongside feedback and grade.

COMMON QUESTIONS FROM HIGHER EDUCATION INSTITUTIONS
Each participant receives a unique, secure code for their exam. They write this code on their paper, and once the scan is uploaded, WISEflow automatically identifies and sorts the pages into the correct participant's flow based on the code.
No special hardware is required. Institutions can use their own paper formats and standard multi-function scan-to-PDF devices already available in most exam offices.
Institutions typically report automatic identification in the range of 97.5% to 99.9%, depending on their local template and how consistently codes and page numbers are written. Anything uncertain is flagged for a quick check before scripts are released to markers.
A simple header template with clear fields for the code and page number, and a short briefing for invigilators and candidates. Many institutions reserve around 15 minutes at the end of the exam for header completion and checks.
Yes. Submitted scripts are stored and managed under the institution's own retention rules, and the shared digital audit trail across scanning, marking, and review makes compliance, quality assurance, and appeals easier to manage than with physical paper alone.
Both. Alongside formal paper exams, institutions can create course-work-purpose flows directly in WISEflow, and the module can be switched on or off per flow by authorised exam managers.
As soon as scripts are scanned, uploaded and any flagged exceptions are resolved. Many institutions set their own scan-to-marker target, for example first scripts available within 24 hours of the exam.
As an add-on to your existing WISEflow licence, with an annual institutional fee plus usage based on the number of scanned papers — see current pricing for details.
